Party Supplies Checklist

A party supply list will help take the stress out of party planning.


Avoid party-planning stress by keeping yourself organized. Organization begins by preparing a party supply checklist. Since every party is different, every party supply checklist will be different. Yet, there are basic items which will be on most event checklists. Keep on task, and avoid forgetting an important detail by referring frequently to your list.


Party Invitations


Unless you intend to forgo formal party invitations and plan to issue your invite by email or phone, include party invitation cards on your list. You will also need postage stamps and a list of the guests to be invited.


Decorations


After deciding how you intend to decorate for the party, make a list of all the desired decorations. This might include balloons, banners, table decorations, streamers, confetti, lights, place cards, yard signs, luminaries and party favors. When making the list, add tools or other supplies needed to install the decorations. These might include a hammer, helium or tape.


Table Supplies


Parties typically include food or beverages of some sort. Serving the food and beverage requires serving ware, which might be disposable. What you actually need will depend entirely on the food or beverage served. For example, if you intend to serve hot and cold beverages, you may need two types of cups. Items in this category include tables, chairs, tablecloths, plates, cups, silverware, napkins, place mats and serving utensils.


Food and Beverages


Depending on your menu, this portion of your list could include coffee, tea, nonalcoholic beverages, alcoholic beverages, appetizers, main dishes, side dishes and dessert, such as cake or ice cream. Include items served with the primary foods and beverages, such as salt and pepper, butter for the rolls, sugar and cream for the coffee, ketchup and mustard for the hot dogs, or ice for the cold beverages. Refer to this section of the list when setting out the food so that you don't forget anything.


Food and Beverage Storage


Consider where you plan to store the food and beverages before and during the event. Your list might include extra ice chests, coolers and food warmers.


Games and Entertainment


If you are planning games or entertainment, you'll need a list of all the items necessary to complete the activity. This might include a stage, sound system, dance floor, pinata, game prizes and game pieces.


Restrooms


Add toilet paper and hand soap to your list. If you lack the necessary number of bathrooms for the number of party guests, consider renting restrooms. Some rental companies offer upscale portable potties, designed for parties and wedding receptions, which include a hand-washing station.
